Decades of growth, and every quote, booking, and customer update still ran through calls, emails, and notebooks. No central system, so the owner spent his days chasing quotes and juggling jobs instead of running the business. The Everything-Everywhere Inbox, in the wild.

We installed one connected system: quoting logic, customer records, scheduling, and automated updates, centralised so information is entered once and flows from there. Quotes go out fast, customers get updates without anyone remembering to send them, and capacity went up without hiring anyone.

Our own

Full disclosure: Dubsta is ours. It is where we fixed our own intake first, which is exactly why it belongs on this page. A growing community brand with members, merchandise, events, and content, heading toward the classic trap of scaling into disorder with the founder wired into every decision.

The diagnostic showed the creative strength was real and the structure was not: no consistent intake boundaries, no defined completion states. So we built them. Membership and registry intake became one moderated queue with deduplication at the point of entry, ownership boundaries got named, and only then did automation touch fulfilment and onboarding.

The result: growth absorbed without the founder carrying it. Operational load fell, visibility across members, orders, and content improved, and the founder’s time moved from execution to judgement. Everything we now install for clients ran here first.

Regional teams across EMEA, APAC, and North America were each experimenting with AI and automation independently: duplication, inconsistent results, and leadership under pressure to scale it all publicly without a visible failure. The assumption in the room was that coordination was the missing piece and the organisation was ready to automate.

The diagnostic said otherwise, so we said no to most of the wish list: no unifying regional tools, no AI in customer-facing decisions, no scaling workflows nobody could govern. Two pilots went ahead where the structure could hold, inbox triage and campaign reporting. Both are intake and reporting fixes, the same pattern as everywhere else on this site, at enterprise scale.

The result: leadership got decision-grade measurement instead of anecdotes, clear visibility of where automation created value, and a framework that now governs rollout sequencing across regions. The pilots bought something rarer than speed: certainty about what to do next.
